Fund Administration Team Leader Asset Servicing
Your Day-to-Day
- Fund Lifecycle & Structural Events
- Coordinate and process fund, umbrella, and share class openings (UBS and 3rd party).
- Manage lifecycle events including liquidations, mergers (calendar and ratios), total redemptions, renamings and structural changes (e.g., change of portfolio manager or management company).
- Handle ISIN creation and activation requests.
- Calendar & Event Coordination
- Maintain and update operational calendars, including annual, monthly, and ad-hoc updates.
- Prepare and control monthly calendars and ensure accuracy of event scheduling.
- Process calendar requests from internal and external stakeholders.
- Controls & Operational Oversight
- Perform 4-eyes and 6-eyes controls on funds and share classes.
- Execute monthly controls, including calendar validation, checklist review, statistics, and FUMA/GP monitoring (active/inactive share classes).
- Monitor completion of controls and maintain dashboards tracking operational activities.
- Ensure completion of finalization controls and related validations.
- Operational Support & Coordination
- Handle ad-hoc queries from internal and external stakeholders, ranging from simple to complex requests.
- Support audit requests, incident reporting, and SAQ reporting processes.
- Coordinate with IT teams on system changes, testing activities, and issue resolution.
- Process Governance & Documentation
- Review and maintain operational procedures, runbooks, and operational memoranda.
- Contribute to ongoing improvement of control frameworks and operational processes.
- Ensure data consistency and alignment across systems and reporting tools.
- Additional Operational Responsibilities
- Support late shift activities as required to ensure coverage of operational deadlines.
- Perform periodic controls and reviews related to fund static data and system setup.
Your Profile
- Degree (University) in economics/business administration/accounting or Final secondary school examinations
- Work experience more than 5 years in a similar position and environment and sound experience in fund accounting desirable
- Strong experience in fund accounting operations, with focus on fund lifecycle and event management.
- Good understanding of Luxembourg fund structures (UCITS/AIF) and share class set-ups.
- Experience working in a control-driven environment with multi-level validation processes.
- Strong organizational skills and ability to manage multiple deadlines.
- Effective communication and coordination skills across operational and technical stakeholders.
- Good command of English; French or German is an advantage.
- GP4 knowledge desirable, good command of Excel (VBA is an asset)
- Ability to work under pressure and meet strict deadlines.
- Very good teamwork and communication skills.
- A very good command of English is essential. Knowledge of German or French an advantage
