Responsabilities:

The Senior Business Administrator will provide comprehensive administrative support to the Chief Financial Officer and other team members, in relation to the corporate and banking activity of a busy AIF managing 3 Funds, with the objective of contributing to the efficiency and performance of the team’s overall activity. The Senior Business Administrator will report to the Chief Financial Officer.

  • Manage the account opening / closing process of bank accounts as required including completing the bank forms, collecting signatures and follow-up, scanning and liaising with the bank throughout the whole process;
  • Manage and maintain the bank account database (completing and amending information as and when required);
  • Manage and provide access to web banking service to the various users (administrator of the tool allowing user access and account set up on three different web banking tool)
  • Manage the good banking relationship with banks and stay informed of new product prices;
  • Assist the Accounting Team with the annual audit request in relation to banking and corporate matters
  • Assist the Accounting Team with the drafting of legal documentation (Intercompany financing);
  • Assist the Compliance and AML-CFT Officer with KYC renewal requests (collating information from third parties, create structure charts, obtain signed letters from the Administrator) and AML-CFT files (create files, compile data received and create checklist);
  • Manage and maintain a corporate database with legal, banking and accounting information relating to the companies managed by the AIFM
  • Cooperate with the other Administrative Assistants and other team members;
  • Contribute to a good working atmosphere within the office in order to facilitate the timely implementation of tasks, smooth flow of information and achievement of objectives.

Skills:

  • Secondary level of education, complemented with a 2-year certification in Legal and / or Business Administration;
  • Three to four years of experience working in Luxembourg for a fiduciary, banking or accounting department required;
  • Fluent in English and French (written and spoken);
  • Strong knowledge of MS Office applications (Word, Excel and PowerPoint);
  • Strong aptitude and accuracy for numbers;
  • Good team player, positive with a pro-active attitude;
  • Open minded and eager to learn;
  • Attentive to details and thoroughness;
  • Ability to work under pressure, multitasking and meet tight deadlines;
  • Good communication, organizational and analysing skills
