Senior Business Administrator

Your Day-to-Day:

  • Provide day-to-day administrative, accounting and office management support to the team
  • Manage incoming correspondence, including scanning, electronic filing and document organisation
  • Maintain and update corporate and financial documentation in the appropriate internal folders
  • Process invoices through internal systems, including validation workflows and payment preparation
  • Verify payment information, including bank details, and prepare payment batches through online banking platforms
  • Coordinate payment approvals and ensure appropriate follow-up when required
  • Investigate and resolve account discrepancies by reviewing supporting documentation and liaising with relevant banking contacts
  • Maintain Excel-based cash reconciliation files by matching incoming and outgoing transactions with online banking statements
  • Support weekly bank reconciliation activities and assist in identifying and resolving discrepancies
  • Provide general administrative assistance to team members and support ad-hoc requests according to business needs
  • Contribute to the smooth day-to-day running of the office
  • Coordinate with external service providers when required
  • Handle confidential and sensitive information with the appropriate level of discretion
  • Take on additional administrative tasks depending on workload and business priorities

Your Profile:

  • Degree in Accounting, Administration, Finance or a related field (BTS or equivalent)
  • 3–5 years of relevant professional experience in administration, accounting, banking, fiduciary services, or a similar environment
  • Previous experience with travel & expenses management and reporting would be an advantage
  • Strong numerical aptitude with excellent analytical and problem-solving skills
  • Good knowledge of data entry and cash reconciliation processes
  • Strong attention to detail and a high level of accuracy
  • Excellent organisational skills and ability to manage multiple priorities simultaneously
  • Ability to work efficiently under pressure and meet regular deadlines
  • Autonomous and comfortable working with limited supervision
  • Proactive, reliable and solution-oriented approach
  • Strong written and verbal communication skills
  • Collaborative mindset and ability to work effectively as part of a team
  • Comfortable handling confidential information
  • Proficient in Microsoft Excel and familiar with online banking and administrative/accounting systems
  • Fluent in English
  • Based in or able to work in Luxembourg
