Senior Business Administrator
Your Day-to-Day:
- Provide day-to-day administrative, accounting and office management support to the team
- Manage incoming correspondence, including scanning, electronic filing and document organisation
- Maintain and update corporate and financial documentation in the appropriate internal folders
- Process invoices through internal systems, including validation workflows and payment preparation
- Verify payment information, including bank details, and prepare payment batches through online banking platforms
- Coordinate payment approvals and ensure appropriate follow-up when required
- Investigate and resolve account discrepancies by reviewing supporting documentation and liaising with relevant banking contacts
- Maintain Excel-based cash reconciliation files by matching incoming and outgoing transactions with online banking statements
- Support weekly bank reconciliation activities and assist in identifying and resolving discrepancies
- Provide general administrative assistance to team members and support ad-hoc requests according to business needs
- Contribute to the smooth day-to-day running of the office
- Coordinate with external service providers when required
- Handle confidential and sensitive information with the appropriate level of discretion
- Take on additional administrative tasks depending on workload and business priorities
Your Profile:
- Degree in Accounting, Administration, Finance or a related field (BTS or equivalent)
- 3–5 years of relevant professional experience in administration, accounting, banking, fiduciary services, or a similar environment
- Previous experience with travel & expenses management and reporting would be an advantage
- Strong numerical aptitude with excellent analytical and problem-solving skills
- Good knowledge of data entry and cash reconciliation processes
- Strong attention to detail and a high level of accuracy
- Excellent organisational skills and ability to manage multiple priorities simultaneously
- Ability to work efficiently under pressure and meet regular deadlines
- Autonomous and comfortable working with limited supervision
- Proactive, reliable and solution-oriented approach
- Strong written and verbal communication skills
- Collaborative mindset and ability to work effectively as part of a team
- Comfortable handling confidential information
- Proficient in Microsoft Excel and familiar with online banking and administrative/accounting systems
- Fluent in English
- Based in or able to work in Luxembourg
