Administrator – Transaction Management (Private Equity & Real Assets)
Your Day-to-Day
As part of the Production Assurance team, you will act as a key contributor in the oversight of transaction management activities. You will coordinate and monitor tasks outsourced to international teams, ensuring the highest standards of service, risk control, and operational efficiency. Your role will also involve active participation in internal reviews, cross-team collaboration, and process improvements.
Your responsibilities will include:
- Ensuring daily operational controls are performed according to procedures and service level agreements (SLAs)
- Reviewing daily checklists and dashboards related to investments, invoicing, and cash monitoring
- Monitoring and escalating unresolved cash breaks and exceptions
- Coordinating fund events, including new fund setups
- Managing client queries and participating in meetings, onboarding processes, and due diligence sessions
- Supporting team supervisors and overseeing the workload distribution within the team
- Leading knowledge-sharing initiatives and organizing refresher training sessions for new and current team members
- Acting as the first-level approver for team leave requests, ensuring sufficient coverage
- Participating in internal and external audits (e.g., ISAE 3402) and ensuring compliance with all internal controls
- Supporting internal projects related to system enhancements and client-driven requests
- Contributing ideas for service improvements and process optimizations
Your Profile
- University degree (or equivalent) in Finance, Accounting, or Law
- 4 to 6 years of experience in Fund Administration or similar operations, ideally within the asset servicing or investment management industry
- Solid understanding of fund transaction workflows, documentation, and operational cycles
- Familiarity with fund administration systems and tools used in the industry
- Strong communication and organizational skills, with the ability to liaise effectively with internal and external stakeholders
- Fluency in English and French is required; additional languages such as German or Italian are considered a plus
- A collaborative mindset, with the ability to motivate and guide team members while maintaining a client-oriented approach
